Regulation 38 fire door handover template

The fire safety information a fire door handover should contain, as a working checklist. Use it to assemble — or to demand — a complete Regulation 38 pack, so the responsible person can maintain every doorset from day one.

What Regulation 38 requires

Under Regulation 38 of the Building Regulations 2010, where building work involves fire safety, the person doing the work must give the responsible person the fire safety information they need to operate and maintain the building — at completion or first occupation. For fire doors that means a documented record of what was installed, its evidence, and how to keep it compliant. This checklist covers the fire door part of that handover.

1 · Door schedule (one row per doorset)

Unique door reference and location (floor, room, opening)
Fire rating and smoke classification (e.g. FD30S / E30 Sa)
Leaf, frame and doorset manufacturer and product/certificate reference
Single leaf, pair, or other configuration; hand of door
Whether the door is on an escape route and/or a compartment line

2 · Test & certification evidence

Test evidence / classification report or field-of-application assessment reference
Third-party certification scheme, scope and certificate number (per doorset)
Declaration of Performance (DoP) and UKCA/CE marking data where applicable
Confirmation each doorset was installed to its tested specification (BS 8214)

3 · Components & hardware schedule

Intumescent and smoke seal types and locations
Hinges (type, grade, number) and other essential ironmongery
Self-closing device (make/type, EN 1154) and any hold-open device (EN 1155) with alarm interface
Glazing system and beads (if any), and letterplate/air-transfer details (if any)
Signage fitted (e.g. 'Fire door keep shut')

4 · Installation records

Installer name and third-party installation certification (if applicable)
Photographic gap and fixing records per doorset
Installation completion certificate / sign-off
As-installed gap measurements against the doorset specification

5 · Operation & maintenance information

Inspection and maintenance frequency and method for each doorset
Permitted adjustments and repairs that keep certification valid
Spares / replacement component schedule matched to the tested specification
Who to contact for certified remedial work
